Best HVAC software (2026): picks by shop size, with real prices

Maintenance agreements, a flat-rate pricebook and good proposals matter more to HVAC shops than a long feature list. Here is which tools have them, and what they cost.

The short answer

For most 2 to 8 tech residential HVAC shops, Housecall Pro ($149 to $299 a month billed annually) covers the HVAC basics: flat-rate pricing from Essentials, and recurring service plans plus a proposal tool on Max. Jobber has the cheapest published price, $29. FieldEdge and ServiceTitan (both quote-only) are built out for bigger, multi-truck operations.

What HVAC shops need from software

My take on the three features that separate HVAC software from generic scheduling apps:

  • Maintenance agreements: recurring tune-ups are steady revenue, and the software should track and bill them.
  • A flat-rate pricebook: techs quote the same price for the same job, on the spot.
  • Proposals with options: repair vs replace, or good/better/best, in front of the homeowner.

If agreements or flat-rate pricing are deal-breakers, ask the vendor to show you that exact feature during the trial or demo.

Picks by shop size

Best for 2-8 tech residential HVAC

Housecall Pro

Essentials ($149/mo, 5 users) has flat-rate pricing and a price book. Max ($299/mo, 8 users) adds recurring service plans and a sales proposal tool. 14-day trial, no long-term contract.

Best budget start

Jobber

Core is $29/mo for 1 user. Grow ($229/mo for 5) adds quotes with optional line items for upsells and job costing. Doesn't list maintenance agreements or a pricebook on its pricing page.

Best for established multi-truck HVAC

FieldEdge

Quote-only. Pricebook and flat-rate pricing on every plan, basic service agreements on Select and advanced from Premier, multi-option quotes from Premier. 2, 4 or 6 mobile licenses by plan.

Worth a quote for larger teams

Service Fusion

Quote-only right now ("Get Demo and Pricing"). Its FAQ says every plan has unlimited users and runs month to month. Service agreements on Pro or a $149/mo add-on on Plus; GPS fleet tracking is an add-on.

Best for large shops with a call center

ServiceTitan

Quote-only, per technician (a consultant on Reddit puts it at $200-300 per tech per month). Service agreements, memberships, pricebook and call booking are core tools.

Questions people ask

For 2 to 8 people, Housecall Pro is my pick: Essentials ($149/month billed annually, 5 users) includes flat-rate pricing, and Max ($299/month, 8 users) adds recurring service plans and a sales proposal tool. Solo techs on a budget can start on Jobber Core at $29/month.
